Privacy notice
Last updated 27 October 2026. Draft, not yet reviewed by a lawyer.
1. Who we are
MyCalenda is run by Dgtise Ltd, registered office 20 High Street, Nailsea, Bristol, BS48 1BT, UK (“we”).
Contact for anything in this notice: hello@mycalenda.com.
2. Two different roles
- Our own data (we are the controller). The details you give us when you sign up and pay, and what we need to run your account.
- Your customers’ data (you are the controller, we are the processor). People who book with your business give their details to you. We store and process them on your behalf, under the data processing terms. If you are a customer of a business that uses MyCalenda, please contact that business about your booking data.
3. What we collect from you
- Your business name, email address, chosen plan, site name and time zone, which you enter on the sign-up form.
- Technical details of your sign-up request, such as your IP address, which we use to stop abuse and limit repeated sign-ups.
- Billing information. Card details go straight to Stripe and never reach us. We keep Stripe’s record of your subscription and invoices.
- Messages you send us, such as support emails.
- Basic activity on your site (for example when you last signed in or took a booking), used for the Free plan inactivity rule below.
We do not use analytics, advertising or tracking on this website. See the cookie notice.
4. Why we use it, and our legal basis
| Purpose | Legal basis (UK GDPR) |
|---|---|
| Set up and run your account and site, take payment, send you sign-in and service emails | Contract |
| Keep the service secure, stop abuse and bots, fix faults | Legitimate interests |
| Keep accounting and tax records | Legal obligation |
| Reply to your questions | Legitimate interests, or contract |
5. Who we share it with
These companies help us run MyCalenda (our sub-processors and suppliers):
- 20i — hosting for every site, including backups.
- Stripe — takes your subscription payments and holds billing records.
- Cloudflare Turnstile — the “are you a person” check on the sign-up form.
- Amelia (the booking software inside your site) — if you connect Google Calendar, Amelia’s own middleware service relays the Google sign-in and passes the access tokens.
- Google — only if you connect Google Calendar or Google Meet.
- Email service — provider to be confirmed.
If you take online payments from your own customers, they go through your own Stripe, PayPal or other account. We do not see or hold that money. We do not sell personal data.
6. Where data is stored
Your site and its backups are stored with our hosting provider, 20i, under a data processing agreement. We have asked 20i in writing which data centre holds the data. We will state the location here before launch.
7. How long we keep it
- Booking details of your customers: made anonymous 12 months after the appointment (or its cancellation). Financial records are kept separately for accounting.
- Billing records: kept for as long as the law requires for accounting and tax.
- You close your account: we email you a download link first, take the site offline, and delete the site 30 days later.
- Free plan not used: if nobody signs in, takes a booking or changes a setting for 3 months, we warn you by email three times (days 90, 97 and 103) and delete the site on day 104. Paying customers are never deleted for not using their site.
- Payment fails: we email you on days 0, 3 and 6 and switch the site off on day 7. If it stays unpaid we delete the site 90 days after it was switched off, after more warnings. Paying brings it back.
- Backups: customer-site backups are provided by 20i. Retention and restoration after deletion are to be confirmed before launch.
8. Your rights
You can ask us to give you a copy of your data, correct it, erase it, limit how we use it, move it, or stop using it for our own purposes. If you run a site, most of this is a button on your settings page. Otherwise, email hello@mycalenda.com. We will reply within one month.
If you are unhappy with how we use your data you can complain to the Information Commissioner’s Office (ICO) at ico.org.uk.
9. Changes
We will update this notice if things change, and change the date at the top. This is a draft and has not yet been reviewed by a lawyer.
